Ticketing

Our goal is to deliver a smooth ticketing process for both the customer and the promoter. We are continually investing heavily in our ticketing system and website to ensure we are competing with the top in the industry.

All tickets for your event must be issued by the venue box office. Tickets for all events can be bought 24 hours a day via the venue websites, www.waterfront.co.uk and www.ulsterhall.co.uk. On event nights, the box office will be open 90 minutes prior to the show start.

Box office contact

We advise having a single point of contact for all ticket-related enquiries in the run up to the event. On the night, the promoter or their representative should introduce themselves to the box office team.

On-sale information

Your event can be put on sale any time after the signed contract is received and once the deposit invoice is paid. The programming team will request information to put the show on-sale, the information requested will be:

  • Announcement date and time
  • On-sale date and time
  • Ticket price(s)
  • Show start time
  • Number of guest/promoter holds
  • Age/content restrictions
  • Ticket Text

Information will also be requested on plans of using front-of-house mixer desks, to understand if there will be an impact on capacity. If the programming team has any concerns around the design of the set and consequent sightline issues, this will be identified prior to on-sale. Unless full stage plans are received, the show will go on-sale with a reduced capacity. This is to avoid reseating customers in the event whereby there are poor sightlines.

Sales reports

Automated sales reports can be set up at agreed intervals by contacting a member of our box office management.

Please note that the figures provided are provisional and for general information purposes only. We cannot be held accountable for any settlements made by the promoter to artists or agents on the basis of these figures. The confirmed final sale figures, plus final charges including ticket commissions, PRS and FEU (if applicable) will be outlined in the final settlement to the promoter.

Wheelchair seats

Our venues have been designed with the best access requirements in mind. Consequently there are several designated areas for wheelchairs, most of which are interchangeable with fixed seating to provide flexible seating options. Some wheelchair positions require fixed seats to be removed, so these will affect capacity if required.

Unused wheelchair holds will be released in stages as sales progress to retain maximum access options whilst also ensuring the maximum sales capacity is reached.

Carer tickets

The venue runs a carer scheme that allows the companion of a customer with access problems to attend free-of-charge. Proof of requirement will always be asked to ensure validity at the time of purchase.

Group booking discounts

Let us know prior to on-sale whether or not you want to offer group discounts, and whether you want to limit the number of tickets sold at that rate. Generally, our group rates apply to groups of 10+ tickets whereby the 10th ticket is free-of-charge. You are welcome to discuss an alternative group discount rate.

Your own discounts or special offers

You may wish to offer discounts to special groups of people, such as your members. Please let this be known at the time of providing on-sale information, as discounts should be approved before being set up at the Box Office.

Exclusive pre-sales

If you wish to run an exclusive pre-sale to a group of people, we can arrange for a unique promo code to be supplied which will unlock the purchase of the tickets prior to the general on-sale.

Third party ticket allocations

We believe that the Waterfront Hall and Ulster Hall’s own box office and online booking system offers customers the best experience possible. Should you wish to sell a percentage of tickets via an agency, please indicate this at on-sale. We grant a 20% allocation of saleable capacity after which charges will be applied. The value of tickets issued to agencies will be deducted from the gross box office receipts and will be shown on the final statement. It is your responsibility, as the promoter, to recoup any monies from third parties.

Promoter/artist holds

You be will be requested to confirm the number of promoter/artist holds prior to the on-sale. Every person attending a show at Waterfront Hall or Ulster Hall must be in possession of a valid ticket and any such tickets should be issued as part of the promoter/artist holds. Any tickets printed free-of-charge are at a cost of £0.21+VAT per ticket and charged at settlement (prices valid for 2019/20). If you require any guest tickets to be collected from the Box Office counter on the night, we ask that you contact the team at least one week prior to your concert to discuss arrangements.

Ticket settlement

We will endeavour to have the settlement completed within five working days. We do not offer early drawdowns on settlements and the ticket sales cannot contribute towards any outstanding invoices.

VAT arrangements

Any tickets sold via our Box Office service will be as an agent for you as the event organiser and principal. A commission charge will be made by the venue for this service. Any tax liability, in particular VAT, arising from the sale of tickets is your responsibility as the event organiser and you are responsible for issuing VAT invoices to the ticket purchasers, if requested.
